Accounting software for a small business, chosen for the books you will have in two years
The ledger you pick at ten people is the one your first controller inherits. Choose for the bank feeds, the reports and the exit, not the onboarding screen.
Published 29 October 2026; vendor pages read 29 October 2026.
Pick small business accounting software by what it must do once you have a bookkeeper, an outside accountant and a few hundred transactions a month: bank and card feeds, clean categorisation, invoicing, bills and the three statements. The right product is the one your accountant can work in, that connects to the bank, payroll and payments tools you already use, and that lets you take every record with you if you leave.
This guide is for founders, office managers and first finance hires. It does not pick a product. It gives you the questions that separate one product from another, and it lists the vendors we could read, from their own pages, in alphabetical order.
Who needs this, and when
You need dedicated accounting software, rather than a spreadsheet, as soon as someone other than you has to rely on the numbers: a lender, an investor, a tax preparer or a buyer of the business. The usual triggers are a first loan or line of credit, a first outside investor, sales tax registration in a second state, a first employee on payroll, or an accountant who asks for read access instead of an export.
At this stage the choice is less about features than about fit with the people around the books. Ask your outside accountant or bookkeeper which products they already support. A product they know costs less to set up and less each month in their time.
Requirements checklist
Small business accounting: requirements
Must have: every product on your shortlist should do it. Depends on you: test it if your situation calls for it.
Must have
- Bank and card feeds for every account you hold, including the card provider you actually use.
- Invoicing with online payment, and bills you can enter, approve and pay.
- A profit and loss, balance sheet and cash flow statement you can run for any period and export.
- Access for an outside accountant without sharing your login, with a record of who changed what.
- A full export of transactions, contacts and attachments in a format another product can import.
Depends on you
- Payroll in the same product, or a connection to the payroll provider you already use.
- Inventory, if you carry inventory; projects or classes, if you report profit by job or location.
- Multiple currencies, if you invoice or pay in more than one.
- Sales tax calculation, if you sell taxable goods in several states.

If your situation is this, look for that
| If | Then |
|---|---|
| You are a sole trader who mostly sends invoices | Look at the free or entry plans and check the per-transaction fee on card payments, which can cost more than the plan. |
| Your accountant already works in one product | Start the comparison there; the cost of switching accountants' habits is real money. |
| You expect to raise money or take on debt within a year | Check accrual accounting, class or department tracking and the reports a lender will ask for. |
| You run more than one company | Ask how each extra entity is priced and whether you can report across them. |
| You are already outgrowing it | Read the midmarket ERP guide before you pay for the top tier. |
What it costs: the components to ask about
| Component | What to ask | Where to find it |
|---|---|---|
| Subscription | Which plan you need for your user count and features, and what the price becomes after any introductory discount ends. | The vendor's pricing page, read on the day you decide. |
| Users | How many users each plan includes and what each extra user costs. | Pricing page and plan comparison table. |
| Payments | The fee per card payment, per ACH payment and per instant payout. | Pricing page footnotes, or the payments terms. |
| Add-ons | Payroll, time tracking, inventory, extra entities and advanced reporting. | Add-on section of the pricing page. |
| Setup | Whether your bookkeeper or accountant charges to migrate the old file. | Your accountant's engagement letter. |
| Exit | What you can export, in what format, and for how long after you cancel. | Terms of service and help centre. |
Implementation timeline
- Week 1: decide the chart of accounts. Agree it with your accountant before you import anything.
- Week 1 to 2: connect feeds. Bank, card, payments and payroll; check the opening balances against statements.
- Week 2 to 3: migrate history. Bring in at least the open invoices and bills, plus the year to date if you can.
- Month 1: run in parallel. Close one month in both systems and compare the statements line by line.
- Month 2: switch off the old file. Keep a full export of it for your records.
Questions to ask in a demo
- Show me a bank feed for my bank, and what happens when a transaction is duplicated.
- How does my accountant get access, and what can they change without my approval?
- Show me the audit trail for one edited invoice.
- What is in the export when I cancel, and does it include attachments?
- What does my plan cost after the introductory period, and what is the price if I add two users?
- Which payroll and payments providers connect, and who supports the connection when it breaks?
Red flags in a contract
- No full export. You need your records for years after you stop using the product: the IRS says to keep records that support a tax return until its period of limitations runs out, and employment tax records for at least four years 1. If cancelling cuts off access, export everything first.
- Introductory prices with no stated renewal price. Write down the price that applies after the discount.
- Payment fees changed on notice. Check whether the vendor can change payment processing fees without a new agreement.
- No independent controls report on request. If a lender or auditor will rely on the system, ask whether the vendor has a SOC report; the AICPA describes the SOC suite of reports on a service organisation's controls 2.
- Automatic renewal of an annual plan with a long notice window. Put the notice date in your calendar on day one.
The vendors, A to Z
