AP automation should cut the time from invoice to approval without loosening who can pay whom

The demo shows the invoice being read. The value is in matching, approvals, vendor records and payment controls. Test those with your own invoices.

Published 29 October 2026; vendor pages read 29 October 2026.

Choose AP automation software by testing the whole path of an invoice on your own documents: capture, coding, matching to purchase orders and receipts, approval, payment and sync to the ledger. Capture accuracy gets the attention in demos, but the controls (who can change a vendor's bank details, who approves what, and how duplicates are caught) matter more to the business.

This guide is for AP managers, controllers and CFOs. It does not rank products. The vendors are listed alphabetically, each with the same facts taken from its own pages.

Who needs this, and when

The usual triggers: invoices keyed by hand, approvals chased by email, late-payment fees, duplicate payments found after the fact, a month-end accrual built from a pile of unapproved invoices, or an auditor finding on vendor master changes. Volume is the other trigger: when invoice count grows faster than the AP team, compare the full cost of automation with the cost of another hire.

Some products also run payments, issue virtual cards or handle supplier onboarding. Decide early whether you want one tool for AP and payments, or AP automation that hands payment files to your bank.

Requirements checklist

AP automation: requirements

Must have: every product on your shortlist should do it. Depends on you: test it if your situation calls for it.

Must have

  • Invoice capture from email and upload, with a person able to correct and confirm each field.
  • Duplicate detection on vendor, invoice number, amount and date.
  • Approval rules by amount, entity, department and vendor, with delegation and an approval log.
  • Control over changes to vendor bank details: who can make them, how they are verified, and a log.
  • Two-way sync with your ERP for vendors, coding, bills and payment status.

Depends on you

  • Two-way and three-way matching to purchase orders and receipts, if you buy against POs.
  • Payment execution by ACH, check, wire, virtual card or international transfer, if the tool will pay.
  • Collection of W-9 forms and 1099 reporting, if you pay US contractors 1 2.
  • Sanctions screening of payees, if you pay suppliers abroad 3.

Implementation timeline

  1. Weeks 1 to 2: clean the vendor master. Remove duplicates, confirm bank details, collect tax forms.
  2. Weeks 2 to 4: configure. Approval rules, coding defaults, matching tolerances.
  3. Weeks 4 to 6: connect. ERP sync and, if used, payment accounts; test with a small batch.
  4. Weeks 6 to 8: pilot. One entity or one invoice type end to end, including payment.
  5. Month 3: roll out. Add entities and vendors; move suppliers to the portal if there is one.

Questions to ask in a demo

  • Process ten of our own invoices, including a credit note and a duplicate, while we watch.
  • Show who can change a vendor's bank account, what verification is required, and the log.
  • Show a three-way match exception and how it is resolved.
  • How does an approval route when the approver is away?
  • Show the sync of one bill and its payment status to our ERP.
  • If you execute payments, whose bank account holds the funds, when do they leave it, and which payment rails do you use?

Instant payment rails such as FedNow let businesses send payments through their depository institution accounts 5.

Red flags in a contract

  • Per-invoice pricing with no overage table. Model your volume and twice your volume before signing.
  • Payment fees outside the order form. Get each payment type's fee written into the agreement.
  • No SOC 1 report. An AP tool that changes vendor data and payments is relevant to your financial reporting controls 4.
  • Card rebates kept by the vendor without being stated. Ask who earns interchange on virtual card payments.
  • No export of approval history. The approval log is audit evidence; it must leave with you.

The vendors, A to Z

These 10 vendors offer products for this job, going by their own sites. Each is listed in alphabetical order with the same fields, every one taken from the vendor's own pages or from the SEC on the date shown. Inclusion is not a recommendation, and a vendor whose pages we could not read is left out until we can; the method page explains how vendors are included.
