Close management software should make the evidence as easy to find as the checklist
A close tool earns its place in the audit, not the demo. Test the reconciliation, the sign-off and the evidence trail with your own accounts.
Published 29 October 2026; vendor pages read 29 October 2026.
Choose close management software by how well it runs the three things a close is made of: the task list with owners and due dates, account reconciliations with their support, and journal entries with review and approval. The product that fits is the one that matches your ERP, your reconciliation volume and the evidence your auditors ask for, and that your team will keep using after the first quarter.
This guide is written for controllers and assistant controllers. It does not rank products. The vendors listed below are alphabetical, each with the same facts from its own pages.
Who needs this, and when
The usual triggers: a close checklist in a spreadsheet that only one person understands, reconciliations stored in folders with no review record, auditors who spend days on evidence requests, a close that slips past the reporting deadline, or a move to public-company reporting, where management reports on internal control over financial reporting 1. Growth in entities and bank accounts is the other trigger: reconciliation volume grows faster than headcount.
Before buying, write down your current close calendar: every task, owner, day and dependency. If that list does not exist, building it is the first step whichever tool you choose.
Requirements checklist
Close management: requirements
Must have: every product on your shortlist should do it. Depends on you: test it if your situation calls for it.
Must have
- A close checklist with owners, reviewers, due dates and dependencies, rolled forward each period.
- Balance sheet reconciliations that pull balances from your ERP and hold support files beside each one.
- Preparer and reviewer sign-off with time stamps that an auditor can rely on.
- A read-only auditor view, or an export of the evidence for a given account and period.
- A tested connection to your ERP, named in the order form.
Depends on you
- Transaction matching, if you reconcile high volumes of bank, card or payment processor activity.
- Journal entry workflow with approval, if entries are prepared outside the ERP.
- Flux or variance analysis with commentary, if management asks why balances moved.
- Controls testing and risk modules, if internal audit will use the same tool.
Print this checklist to take into a demo.
If your situation is this, look for that
| If | Then |
|---|---|
| Your close is mostly a checklist problem | Start with checklist and reconciliation modules; add matching later. |
| You reconcile thousands of transactions a month | Test matching rules on a real month of your bank and processor data. |
| Your ERP is changing in the next year | Ask how the close tool moves between ERPs, and time the purchase after the ERP decision. |
| You are preparing for public-company reporting | Ask for the vendor's SOC 1 report 2 and how sign-offs support your control testing. |
| Your filings are tagged in Inline XBRL | Ask whether the tool feeds your disclosure and tagging process; the SEC requires Inline XBRL on a phased basis for operating company financial statement information 3. |
What it costs: the components to ask about
| Component | What to ask | Where to find it |
|---|---|---|
| Licence | Whether the price is per user, per module, per entity or by a usage measure such as reconciliations. | Pricing page if any; otherwise the quote. |
| Implementation | Who builds the checklist and reconciliation templates, and how many hours are included. | Statement of work. |
| ERP connector | Whether the connector is included and who maintains it. | Integrations page and order form. |
| Internal time | Weeks of controller time to rebuild the close calendar and templates. | Your own plan. |
| Renewal | Caps on renewal increases and on extra modules added mid-term. | Order form. |
| Exit | Export of reconciliations and support files, with sign-off history. | Master agreement and help centre. |
Implementation timeline
- Weeks 1 to 2: map the close. Document every task and every balance sheet account with its owner.
- Weeks 2 to 5: configure. Load the checklist, reconciliation templates and risk ratings for each account.
- Weeks 5 to 6: connect. Link the ERP and test balance pulls against the trial balance.
- First close: run in parallel. Use the tool alongside the old checklist for one month-end.
- Second and third closes: switch. Retire the spreadsheet; add matching or journal workflow next.
Questions to ask in a demo
- Pull our trial balance from our ERP and show the reconciliation for one bank account, with support attached.
- Show the auditor's view of that reconciliation, including who prepared and reviewed it, and when.
- What happens when a balance changes after sign-off?
- Show how the checklist rolls forward and how a late task is flagged.
- How do you match transactions from our payment processor, and what does an exception look like?
- What do we export, with what history, if we leave?
Red flags in a contract
- Connector not named. If the ERP integration is a separate product or partner, put it in the order form.
- Sign-off history lost on export. The value of the tool is the evidence; make sure it leaves with you.
- No SOC 1 report. A close tool sits inside financial reporting; SOC 1 covers controls at a service organisation likely to be relevant to user entities' internal control over financial reporting 2.
- Per-module pricing with no cap on modules added after signature.
- Implementation by an unnamed partner. Ask who will do the work and see their references.
The vendors, A to Z
These 6 vendors offer products for this job, going by their own sites. Inclusion is not a recommendation, and a vendor whose pages we could not read is left out until we can; the method page explains how vendors are included.
