Billing software should invoice every pricing model you plan to sell, and hand revenue to the ledger cleanly

Billing decides what customers see; revenue recognition decides what the auditors see. Test both with your hardest contract, not your simplest plan.

Published 29 October 2026; vendor pages read 29 October 2026.

Choose billing and revenue recognition software by running your most complicated contract through it: a mid-term upgrade, a usage overage, a discount, a multi-year prepayment and a cancellation. The right product invoices that contract correctly, collects the payment, and produces revenue schedules your auditors accept, then posts the result to your ledger.

IFRS 15 provides a comprehensive framework for recognising revenue from contracts with customers, and was issued in May 2014 together with Topic 606 in the FASB's codification 1. Software can apply that framework consistently; it cannot decide your accounting policies for you. This guide is for controllers, revenue accountants and finance leads at subscription and usage-based businesses. It does not rank products, and vendors are listed alphabetically below with the same facts for each.

Who needs this, and when

The usual triggers: invoices built by hand in the accounting system, revenue schedules in spreadsheets, a new usage-based or hybrid price that the current tool cannot bill, deferred revenue that does not tie out at month-end, or an audit that questions contract modifications. A second trigger is international sales: taxes, currencies and e-invoicing rules differ by country. In the EU, the VAT in the Digital Age package was adopted on 11 March 2025 and will be rolled out progressively until January 2035 3.

Some products only bill, some only recognise revenue, and some do both. Decide whether one product should own both, or whether billing feeds a separate revenue engine.

Requirements checklist

Billing and revenue: requirements

Must have: every product on your shortlist should do it. Depends on you: test it if your situation calls for it.

Must have

  • Every pricing model you sell or plan to sell within two years: flat, per seat, tiered, usage, prepaid credits, minimums.
  • Mid-term changes (upgrades, downgrades, cancellations) with correct proration and credit notes.
  • Revenue schedules by performance obligation, with a waterfall that ties to deferred revenue.
  • Posting of invoices, payments and revenue to your ledger, with reconciliation reports.
  • An audit trail of contract and price changes.

Depends on you

  • Usage metering at your event volume, if you charge by usage.
  • Quoting and CPQ, if sales negotiates contracts.
  • Tax calculation and e-invoicing, if you sell across states or countries.
  • Dunning and payment retries, if you bill cards at volume.

Implementation timeline

  1. Weeks 1 to 3: catalogue. Model every product, price and discount in the new system.
  2. Weeks 3 to 6: migrate. Load live subscriptions and contracts; reconcile billing for one cycle.
  3. Weeks 6 to 8: revenue. Load historical schedules; tie deferred revenue to the ledger.
  4. First billing cycle: parallel. Invoice from both systems and compare every invoice.
  5. First quarter-end: review. Walk the auditor through the waterfall before the close.

Questions to ask in a demo

  • Bill our hardest contract: an upgrade on day 45, a usage overage and a cancellation with a credit.
  • Show the revenue schedule for that contract and the journal entries it creates.
  • What happens to an invoice when usage arrives after the period closes?
  • How are price changes versioned, and can we see the history?
  • Show deferred revenue tied to the ledger at month-end.
  • What do we export, and in what format, if we leave?

Back to contents

Red flags in a contract

  • Percentage of billings with no cap. Model fees at three times your current volume.
  • Revenue recognition sold as a separate product after the demo showed it as included.
  • No SOC 1 report. Billing and revenue systems are likely relevant to internal control over financial reporting 2.
  • Migration not in scope. Moving live subscriptions is a large part of the work; get it in the statement of work.
  • Gateway lock-in. Check whether you can change payment processor without re-collecting card details.
